Our approach

The Company Map and the Megabrain

Before any agent works, we collect your company’s data, clean it and check it with your people. What comes out is a map of how the company really runs, and the Megabrain: the system that answers and decides by it.

From scattered data to the Company Map

Take a fictional company through the four stages. The same fourteen pieces of its knowledge travel all the way, and you settle what the data cannot.

  • Owner
  • Finance director
  • Treasurer
  • Logistics lead

Who approves supplier payments?

Gaps, answered in the room

Logistics lead“I file them, with our broker.”

Treasurer“Two lines changed last year. Corrected.”

What matters most this quarter?

Four people have voted. Yours decides.

Confirmed as is

Zarvane Trading Group, a fictional company. What it knows is spread across email, chats, spreadsheets, documents and systems.

Example on Zarvane Trading Group, a fictional company. On your company the sources, people and rules are your own.

Why the map comes first

Ask an agent the same question twice: once without a verified map, once with it.

The questionWho approves the overdue Halvex invoice?

Agent without a verified map

“Usually the finance director, as in most companies.”

  • Answers from general practice, not from your rules.
  • Picks one of two sources that disagree, without saying so.
  • Cannot tell you where the answer came from.

Agent working from the Company Map

“The finance director. It goes into the weekly payment run.”

Sources: payment policy, confirmed by the finance director in the session on payments. Quarter priorities, voted by leadership.

  • Follows the rule your company confirmed.
  • Names the source and the person who confirmed it.
  • When the map has no answer, asks a person instead of guessing.

Together, the Company Map and the Megabrain are the harness of the organisation. Every process, desk and agent is built on it, so nothing has to be described twice. See the harness and its six maps

What each stage gives, and who takes part

StageWhat we doWhat you getWho takes part
1CollectWe connect to email, chats, documents, spreadsheets and systems, with read access only.Everything the company knows in one place, every piece with its origin.Your IT lead, to grant read access. The owner of each system.
2CleanWe merge duplicates, link records about the same thing, and flag conflicts, gaps and out-of-date facts. What is solid, and a short list of questions only your people can answer.SORP analysts and agents. No time from your team.
3Verify with peopleFacilitation sessions: people see what the data says, confirm or correct it, settle conflicts and vote on priorities.Facts confirmed by the people responsible, each with who confirmed it and when. Agreed priorities. The owner or leadership, process owners and the people who do the work.
4Map and MegabrainWe assemble the Company Map: management, strategy, decisions, processes and data. The Megabrain reads it.One model of how the company runs, kept up to date as decisions are made.Leadership approves the map. A named owner keeps it current.
ThenDesks for each role and agents with set rights, built on the map. Agents start with narrow rights and earn wider ones through a record of approved work. People decide on money, law, signatures and anything sent outside.

Facilitation sessions

Data tells you what was written down. Only your people know what is true today and what matters most. The sessions are where the two meet.

Sessions can run in virtual realityLeadership stands around the map and decides inside it.See the facilitation room
  1. We show what the data saysOn one screen: the process, the roles and the rules as your documents and systems describe them.
  2. People confirm or correctThe person responsible says what is right. What was wrong is corrected in front of everyone.
  3. Conflicts are settled in the roomWhere two sources disagree, the people who own the question decide which one stands.
  4. Priorities are voted, not assumedLeadership ranks what matters this quarter. Agents use that order when work competes.
  5. Every answer is recordedWho said it, when, and in which session. Agents cite it later as their source.

Start with one process

A process review takes one process through all four stages: collected, cleaned, checked with the people who run it, and drawn as a map. You keep the map whether or not you go further.

Questions people ask

What are the Company Map and the Megabrain?

The Company Map is one model of how your company runs: who answers for what, the goals and priorities, who decides what and on what grounds, the processes, and where every piece of data lives. The Megabrain reads the map to answer questions and prepare decisions, always naming its source. Together they are the harness on which processes, desks and agents are built.

Why not start with agents straight away?

An agent without a verified map has to guess: it answers from general practice, picks between sources that disagree, and cannot say where an answer came from. With the map it follows your own rules, cites the source and the person who confirmed it, and asks a person when the map has no answer.

What happens in a facilitation session?

We show the people who run a process what the data says about it. They confirm or correct each point, settle the conflicts between sources and vote on priorities. Every answer is recorded with who gave it and when, so agents can later cite it as their source.

How much of our people’s time does it take?

Collecting and cleaning take no time from your team beyond granting read access. Your people take part in the sessions, which are planned around one process at a time with the people who run it.

Does our data leave our environment?

It does not have to. The platform can run on your own servers with local models. An outside model is used only if you allow it, and then names, contacts and amounts are masked first.

How does the map stay current?

New decisions, changed rules and corrections made at the desks update the map, each with its source. A named owner on your side approves the changes, so the map keeps describing the company as it is.

Where do we start?

With a process review: one process taken through all four stages. You keep its map whether or not you go further.
